This role encompasses executive support and business operations for ZipTek, administrative support for Dr. Bennett's orthopedic practice, and some physician liaison responsibilities. What You’ll Do

As a Business Development Coordinator, you will:

  • CRM Management: Serve as primary administrator for HubSpot CRM, managing investor databases, lead tracking, and follow-up workflows

  • Investor Relations Support: Manage database of 400+ potential investors, coordinate follow-up communications, and track funding pipeline

  • Stakeholder Communications: Interface with investors, advisory board members, vendors, and key business partners

  • Meeting & Event Coordination: Organize investor meetings, clinical presentations, trade show participation, and strategic planning sessions

  • Vendor & Contract Management: Communicate with suppliers, manufacturers, and service providers; coordinate contract manufacturing activities

  • Trade Show Support: Assist with booth setup, lead capture using scanning technology, and post-event follow-up campaigns

  • Documentation & Reporting: Prepare presentations, investor updates, board materials, and executive correspondence

  • Project Management: Support cross-functional initiatives, ensuring follow-through on strategic priorities and deadlines

  • Administrative Support: Calendar management, travel coordination, expense management, and general executive assistance

  • Practice Administration: Provide executive assistance for Dr. Bennett's low-volume orthopedic practice in Sarasota

  • Patient Communications: Handle occasional patient callbacks and scheduling follow-ups (approximately 2 calls per day)

  • Procedure Support: Assist with administrative aspects of shoulder surgeries using ZipTek devices, PRP (Platelet-Rich Plasma) treatments, and stem cell procedures

  • Clinical Coordination: Help coordinate surgical schedules, patient follow-ups, and practice-related communications

  • Technology Management: Support cloud-based practice management systems and automated scheduling platforms

  • Surgeon Communications: Conduct professional phone interactions with orthopedic surgeons and healthcare professionals

  • Clinical Follow-up: Manage outreach campaigns to surgeons who have expressed interest in ZipTek products

  • Relationship Building: Help maintain relationships with key opinion leaders and clinical partners

  • Meeting Coordination: Schedule and coordinate clinical meetings, journal club presentations, and product demonstrations

What You’ll Need

  • Bachelor's degree in Business, Communications, or related field

  • Previous experience in medical device, healthcare, or B2B technology industries

  • HubSpot Certification or experience: Marketing Hub, Sales Hub, or CRM certifications preferred

  • Experience with trade shows, events, or conference coordination

  • Understanding of fundraising processes and investor relations

  • Physician liaison or healthcare sales support experience
